Job Title: Onsite Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Onsite Administrator to join our team at Pertemps Scotland. As an Onsite Administrator, you will be responsible for providing administrative support to our clients and ensuring the smooth operation of our services.

Key Responsibilities:

  • Operational Support: Deliver high levels of operational support to our clients, including gathering driver availability, completing license checks, and maintaining compliance and accuracy of our systems.
  • Forward Planning: Support the Contract Manager with forward planning by obtaining and tracking driver weekly availability to work.
  • Relationship Building: Maintain close working relationships with drivers and staff across each location using available tools.
  • Best Practice: Maintain best practice as outlined by the business.
  • Compliance: Ensure all minimum standards associated with our booking and management process are maintained.
  • Onboarding: Support the Consultant with the onboarding process of our workers.
  • System Management: Manage and maintain all systems.
  • Compliance Audit: Support the Contract Manager to deliver 100% compliance audit rating for the sites aligned to the region.
  • Initiative Rollout: Support the effective rollout of any new internal initiatives or projects.
  • Worker Support: Manage day-to-day worker issues around pay, holiday, sickness, attendance, etc.
  • Objectives: Ensure all personal objectives are always met.
  • Issue Escalation: Escalate in a timely manner any known operational issues that might involve senior customer and/or Pertemps management.
  • Communication: Maintain the highest levels of communication both written and oral with the client, flexible workers, and within the Pertemps management team.
  • Payroll Management: Ensure that all relevant payroll deadlines are met at all locations, managing the flow of information between the client and our internal departments.

  • Process Improvement: Display an inquisitive approach to managing various sites, identifying opportunities to improve process, recruitment, financial, and operational performance to the benefit of the Pertemps contract.
  • Decision Making: Evidence capability for making sound and confident decisions on behalf of the client and Pertemps.
  • Communication: Evidence a calm, encouraging, and enthusiastic character when managing complex and sensitive internal and external communications.
  • Task Management: Meet and exceed all tasks and functions without management reminder.
