Position Overview

ABOUT THE ORGANIZATION:

Westray Recruitment Group is actively seeking an Administrative Operations Coordinator to support our operations. This role is essential for ensuring the efficient administration of our branch. The successful candidate will handle customer inquiries through various channels, ensuring a professional and timely response.

KEY RESPONSIBILITIES:

  • Develop and maintain comprehensive knowledge of all company offerings, staying informed about new products.
  • Prepare and follow up on quotations for rentals and sales to secure business opportunities.
  • Ensure timely completion of documentation to facilitate smooth month-end processes.
  • Manage petty cash, office supplies, and purchase orders efficiently; adhere to company policies for stock management.
  • Coordinate logistics for the collection and delivery of materials.
  • Utilize communication tools effectively and maintain accurate records.
  • Promote the full range of company products and services to customers.
  • Complete rental agreements and delivery/collection documentation.
  • Adhere to company protocols regarding credit control and debt management.
  • Uphold Health & Safety standards for yourself, colleagues, and clients.
  • Assist with various projects as required.

IDEAL CANDIDATE PROFILE:

  • Experience in customer service roles
  • Strong telephone communication skills
  • Proficient in Microsoft Office applications, particularly Excel and Outlook
  • Exceptional verbal and written communication abilities
  • A minimum of one year’s relevant administrative experience, preferably in the construction sector or a similar customer-focused environment
  • Detail-oriented and process-driven
  • Able to thrive in a dynamic and fast-paced setting
  • Collaborative team player
  • Hands-on and proactive approach to tasks
