Job Duties
- Provide comprehensive administrative support to the Clinical Education and Workforce team as required.
- Serve as the primary point of contact for inquiries related to Clinical Education and Workforce; greet visitors to the department with professionalism and discretion.
- Ensure the booking and confirmation of venues for meetings, training sessions, and other events as necessary.
- Perform document preparation and photocopying as needed; type correspondence, letters, and reports with a focus on accuracy and high presentation standards.
- Deliver effective administrative support for the Clinical Education and Workforce team, responding appropriately to internal and external telephone inquiries.
- Utilize sound judgment to prioritize messages and actions, bringing relevant information to the team's attention as appropriate.
- Communicate effectively, both verbally and in writing, with internal staff and external colleagues at all levels while maintaining confidentiality of sensitive information.
- Organize and maintain an efficient office support system for timely information recording and retrieval with a high level of accuracy.
- Attend various meetings as required, taking minutes and preparing them for approval. Compile and distribute agenda papers and action logs, ensuring appropriate venues and facilities are booked in advance.
- Establish and maintain effective databases for the Clinical Education and Workforce team, assisting team members in using relevant databases and explaining administrative processes to new staff.
- Keep the Clinical Education and Workforce shared database updated and functional.
- Assist in generating and distributing reports to meet the workforce information needs of relevant workstreams and Trust divisions. Conduct research and gather information to produce reports as required, ensuring an accurate database for staffing reviews.
- Support the development and optimization of social media platforms to enhance the work of the Clinical Education & Workforce team.
- Adhere to deadlines and manage all organizational requirements for the efficient operation of the Clinical Education & Workforce offices, maintaining a professional and tidy office environment.
- Responsible for ordering and maintaining office supplies and equipment, ensuring availability in accordance with Trust procedures.
- Collaborate with the Uniform & Laundry Administrator to ensure effective management of stock taking, ordering, and receipt of nursing uniforms in line with Trust processes.
- Work independently and as part of a team, adapting to the requirements of the workload.
- Manage competing priorities with a flexible and adaptable approach, ensuring deadlines are met.
- This role necessitates a highly organized approach, capable of accommodating new priorities as they arise, supporting additional administrative tasks, and covering for other administrators when necessary.
