The Role:

We are seeking a highly organized and efficient Office Administrator to join our client's team. As a key member of the office team, you will be responsible for providing administrative support to ensure the smooth operation of the business.

Key Responsibilities:

  • Invoicing and Quoting: You will be responsible for raising invoices for completed jobs by carefully understanding, interpreting, and converting engineers' reports. Additionally, you will write up quotations based on engineers' estimates.
  • Job Scheduling: As the Office Administrator, you will play a crucial role in organizing jobs to optimize business efficiency while ensuring high levels of customer satisfaction. You will schedule jobs for the engineers and make sure all necessary arrangements are in place.
  • Customer Service: The first point of contact for incoming calls, handling customer inquiries with professionalism and politeness. Additionally, you will respond promptly to email inquiries and book appointments.
  • Ordering Materials: Efficiently sourcing and ordering materials from suppliers. You will be responsible for prioritizing cost-effective options for the business.
  • Administrative Support: Your role will also involve handling general office administration tasks, such as chasing late payments and renewing cover plans. You will send out service reminders and manage other office duties as needed.
  • Customer Communication: Managing client communication for ongoing cover plans, sending service reminders, and following up on outstanding payments will also be part of your responsibilities.

The Ideal Candidate:

We are looking for someone with competent computer skills, a professional email and telephone manner, and preferably some experience working in an office environment. Familiarity with using a field management system is a bonus but not essential.
