Position Overview

Principal Medical Limited is in search of a Training Program Manager to facilitate the organization of all educational initiatives for incoming junior medical professionals.

In this role, you will report to the Call Centre Team Leader and play a crucial part in providing professional support to ensure that the training and educational pathways for our junior clinicians are meticulously planned. Your effective planning skills will be essential in achieving successful outcomes for all stakeholders involved.

Your responsibilities will include delivering comprehensive administrative assistance to the Lead GP overseeing the training of junior doctors and other clinical trainees, as well as coordinating the schedules of all parties to ensure the smooth daily operation and management of the trainees and their mentors.

You will be expected to manage your workload independently and collaborate with relevant team members. It is vital to maintain accurate training information and scheduling details to ensure that all training records are current and that all training is completed within the designated timeframes.

Key Responsibilities

  • Disseminate and circulate all training-related communications, schedules, and meeting invitations as required by the trainees and their clinical or educational supervisors.
  • Organize and arrange necessary training activities within the organization for all trainees.
  • Onboard new trainees, introducing them to the team and their designated supervisor.
  • Serve as the primary liaison between training providers, GP supervisors, department managers, and trainees.
  • Facilitate communication between universities and supervisors to ensure a cohesive understanding of training requirements.
  • Gather information from relevant GPs and teams to organize and schedule training dates within the rota on a weekly, monthly, and annual basis.
  • Document trainees' training activities throughout the year to ensure compliance and successful completion of all training components.
  • Manage the trainees' and GP supervisors' schedules using the operational rota management system to ensure appropriate time allocation.

Principal Medical Limited is a prominent not-for-profit organization led by general practitioners, delivering a variety of NHS community and primary care clinical services to patients across multiple regions. Since our establishment in 2004, we have experienced significant growth, currently employing around 300 staff members with a turnover of approximately £16 million. We hold GMS contracts and represent a network of GP practices serving a substantial patient population.

Our health center is home to over 42,000 registered patients and employs approximately 200 staff, including GPs, nurses, physiotherapists, pharmacists, and administrative personnel. We operate as a single Primary Care Network, providing a unique opportunity to integrate the benefits of GMS with the PCN DES.

Job Responsibilities

  • Develop annual training plans for GP supervisors and trainees in alignment with college and training provider requirements, collaborating closely with GP supervisors for each trainee.
  • Ensure adherence to junior doctor contracted hours and new GP contract training schedules for both full-time and part-time trainees.
  • Guarantee that training programs and plans are executed in a timely manner.
  • Provide essential information to trainees regarding their individual training sessions.
  • Prepare and procure any educational materials and aids necessary for training events.
  • Maintain and update training records in accordance with training provider requirements.
  • Coordinate induction plans for each trainee, introducing them to relevant teams and GP supervisors while explaining their training schedules and rota systems.
  • Manage and maintain any in-house training facilities and equipment.
  • Collect feedback from trainers, trainees, and other departments regarding the effectiveness of completed training sessions and compile feedback forms.
  • Provide printed and instructional materials for training events as directed by GP supervisors.
  • Develop internal materials to inform trainees about the training process and expectations during their time with the organization.
  • Assist in planning and implementing annual training sessions for each trainee.
  • Support the creation of training aids such as manuals and handbooks.
  • Outline training plans for individual trainees during their tenure with the organization.
  • Handle logistics for training events, including venue and equipment arrangements.
  • Establish and maintain relationships with external training providers.
  • Document expenditures and total costs, creating reports for review by the Clinical Lead.
  • Collaborate with finance to ensure all financial claims are processed for each trainee and supervisor, including training grants and CPD payments.
  • Coordinate diary management for all trainees and their mentors.
  • Arrange training slots for each trainee based on their individual training schedules using the rota management system.
  • Monitor study leave and annual leave for trainees to ensure compliance with contractual requirements.
  • Organize GP supervisor sessions to meet the training needs of each trainee while adhering to training regulations.
  • Coordinate and comprehend the various training elements for each trainee, including patient access levels, external training, and training away days.

Required Skills and Knowledge

  • Experience in developing comprehensive training materials, from lesson planning to implementation.

Qualifications

Essential

  • Diploma Level 3 in Business Administration or equivalent experience.
  • GCSEs Grade C or above, including Mathematics and English.
