Position Overview
We are seeking a skilled Healthcare Administrative Coordinator to become a vital member of our supportive team within the UCR and Community Therapy sectors.
This role is essential in delivering administrative assistance to our dedicated team.
Our service encompasses two primary teams: Urgent Community Response and Community Therapy, focusing on providing home-based rehabilitation services for individuals requiring physical recovery and support to facilitate timely hospital discharges, as well as preventive measures to maintain overall health and wellness. Our multidisciplinary team includes Nurses, Physiotherapists, Occupational Therapists, Assistant Practitioners, Care Coordinators, and Community Rehabilitation Assistants, all working collaboratively to enhance the functional abilities and independence of adults.
The ideal candidate will possess a flexible work ethic and the capability to function effectively both independently and as part of a team.
Under the guidance of the Team Leader and Care Coordinator, you will be tasked with ensuring that all responsibilities are executed in a timely, confidential, and professional manner.
Key Responsibilities
• Deliver a comprehensive secretarial and administrative support service.
• Generate high-quality reports within specified deadlines as required.
• Perform office duties, including managing diaries, handling messages, sorting and distributing mail, operating tracking systems, and addressing telephone inquiries.
• Produce documents, engage in typing, photocopying, collating materials, and maintaining electronic filing systems, along with general administrative support.
• Address requests and inquiries, directing them to the appropriate team member.
• Organize meetings and investigations, including preparing and circulating agendas, recording attendance, and taking accurate minutes.
• Assist with system management and support new team members with IT setups, equipment, and system inductions.
• Collect and maintain precise team data regarding training, clinical supervision, and other relevant databases.
• Support data collection for service requirements as needed.
• Ensure that all tasks are completed accurately within established timeframes and standards.
• Work effectively both independently and collaboratively as part of a team.
• Resolve or direct queries from patients, caregivers, internal departments, and external organizations as appropriate.
• Undertake any additional duties that align with the role's expectations.
