Position Overview

We are pleased to announce a new opportunity to become a vital member of our supportive team, assisting the Clinical Health Psychology and Neuropsychology Service in the role of Administrative Support Coordinator.

The Administrative Support Coordinator will collaborate with the Administrative Team to deliver essential support to the Clinical Staff while adhering to departmental and organizational protocols.

Key Responsibilities

  • Deliver high-quality secretarial, administrative, and clerical services to ensure an effective and efficient operation in line with Standard Operating Procedures.
  • Ensure that patients are treated with respect, courtesy, and dignity, while maintaining confidentiality at all times.
  • Manage clinics as necessary, ensuring that patient files and records (both paper and electronic) are accurately maintained.
  • Prioritize daily incoming administrative requests from Clinicians and Trainees across the Service.
  • Provide additional administrative support to other areas during periods of staff absence, such as sickness or annual leave, as directed by the Clinical Health Psychology Lead Administrator.

About Our Organization

The Clinical Health Psychology and Neuropsychology Service is currently evolving as a Lifespan service, focusing on innovative approaches to enhance our operations. Joining us now means being part of an exciting phase of transformation as we implement these initiatives throughout the organization.

As a member of the Administration Team, you will work closely with Clinical Staff, managing their clinics and patient administration from the moment a referral is received until the patient is discharged from the service. You may also serve as the initial point of contact for the service, addressing telephone, email, and written inquiries from patients, families, and referrers. Our service comprises a diverse range of psychological professionals, and you may be required to provide administrative support at various locations.

The successful candidate will receive line management supervision from the Lead Administrator and will be expected to engage in ongoing training as identified. Flexibility is essential, as you may need to cover for staff absences within the Clinical Health Psychology Service.

Qualifications, Knowledge & Experience

Essential

  • A good standard of general education, including GCSE in Maths and English or equivalent.
  • Typing skills at RSA III/OCR III or equivalent level of speed and accuracy (40 Wpm).
  • Proven experience in secretarial and administrative roles.
  • Proficiency in Microsoft Office software.
  • Effective communication skills with patients, staff at all levels, and external contacts, both verbally and in writing.
  • Ability to appropriately use medical terminology.
  • Demonstrated customer care experience, with empathy and tact.
  • Experience in note-taking.
  • Familiarity with audio typing.

Desirable

  • NVQ level 3 in Administration or equivalent experience.
  • Knowledge of Trust Patient Administrative and Information Systems.
  • Understanding of the Trust's Access Policy.
  • Familiarity with Referral to Treatment Pathways.
  • Knowledge of Patient Tracking Lists.
