About the Role
We are seeking a highly motivated and organized Administrative Support Specialist to join our Rheumatology Department at Bedfordshire Hospitals NHS Foundation Trust. As a key member of our administration team, you will provide essential clerical support to ensure the efficient and effective running of the department.
Key Responsibilities
- Provide a friendly and welcoming first point of contact to patients and healthcare professionals, responding to telephone calls and emails in a timely and sensitive manner.
- Deal with non-clinical information and provide accurate and up-to-date information to patients and staff.
- Use information systems effectively to maintain high standards of information recording and accuracy.
- Support other administrative staff with the organization of clinics and appointments, and provide other administrative duties as required.
- Record and update patient information on hospital IT systems accurately and efficiently.
- Liaise with GPs and other referrers to obtain further information for clinicians prior to patient appointments.
- Print and distribute clinical correspondence accurately within Trust timescales.
- Ensure all documents requiring scanning onto the electronic patient record are uploaded accurately and appropriately in a timely manner.
- Perform basic data entry for departmental database.
- Sort, prioritize, and distribute incoming mail to the appropriate members of staff.
- Maintain stock of stationery equipment and patient information material in the department and clinical rooms.
- Provide cover for and undertake duties of absent colleagues as required.
- Take an active role within the department, attending staff meetings and participating in discussions to improve and evaluate the service.

- Education
- Maths and English GCSE Grade C or above/Equivalent
- Attention to Detail
