Job Overview:

The Data Subject Request Administrator will play a crucial role in coordinating, tracking, and completing all Subject Access and other rights requests in a timely and accurate manner, adhering to Data Protection regulations. This role will also provide valuable insights through MI to assist with root cause analysis of issues found.

Key Responsibilities:

  • Manage the end-to-end process of Data Subject Requests, ensuring timely responses within ICO guidelines and extending if required.
  • Log all requests and produce correspondence in response to subject access and rights requests received, in line with GDPR regulations.
  • Maintain accurate records of communication with customers and colleagues.
  • Ensure other business areas are contacted promptly upon receipt of Data Subject Requests to facilitate solutions and meet daily requirements.
  • Keep the Data Subject Tracker up to date and provide weekly figures to the Team Manager.
  • Proactively escalate any issues and provide feedback to the team manager/leader when necessary.
  • Take full responsibility for file requests and process them within the regulated timeline.
  • Apply appropriate redactions/exemptions as outlined in the Data Protection Act and GDPR for complex requests.
  • Manage Right to be Forgotten and Right to Erasure cases according to company retention policy and respond accordingly.
  • Manage a varied workload, prioritizing tasks across multiple Data Subject Requests and making decisions on redactions.
  • Stay aware of GDPR and related data protection legislation.
  • Develop and maintain good working relationships with key contacts within the business.
  • Ensure SharePoint is audited and any duplicate data/no longer required data is deleted.
  • Monitor mailboxes to ensure they are up to date, responding to customers/colleagues in a timely manner.
  • Respond to customers via email, providing support and jargon-free explanations to deliver a first-class service.
  • Double-check colleague's work, providing constructive feedback and making further redactions if required.
  • Send Data Subject Requests securely via email or post and ensure the correct data is sent and logged as complete.

Requirements:

  • First-class customer service skills and a positive approach are essential.
  • Ability to communicate effectively at all levels.
  • Demonstrates excellent organizational and time management skills.
  • Excellent attention to detail.
  • Methodical approach to tasks with strong administration skills.
  • Strong knowledge of DPA/GDPR regulations.
  • Insurance and claims handling background is desirable.
