Position Overview:

We are seeking a dedicated, organized, and proactive individual to join our administrative team. In this role, you will be the first point of contact, managing reception duties and various administrative tasks. Your focus will be on maintaining a friendly and professional atmosphere, ensuring the smooth operation of the school in a dynamic environment. You will collaborate with an experienced team to deliver efficient administrative support and provide a warm welcome to visitors, staff, and students.

Main Responsibilities:

  • Welcoming visitors with a professional and friendly demeanor.
  • Communicating promptly with relevant staff/students to keep visitors informed during their wait.
  • Managing incoming calls with professionalism, ensuring effective call handling and transfers.
  • Accurately recording messages and ensuring timely delivery.
  • Overseeing the signing in/out process to comply with Health and Safety regulations.
  • Assisting during open days by greeting visitors and providing necessary information.
  • Supporting the provision of refreshments for meetings and visitors as needed.
  • Maintaining an accurate central shared calendar.
  • Handling document duplication, scanning, and distribution as required.
  • Ensuring the reception area is safe and welcoming for all visitors.
  • Managing incoming and outgoing correspondence efficiently.
  • Upholding confidentiality at all times.
  • Demonstrating effective multitasking and time management skills.
  • Supporting students during their work experience in the reception area.
