We are seeking a highly organized and detail-oriented Document Controller to join our team at Adore Recruitment Ltd. As a Document Controller, you will play a crucial role in supporting the Integrated Management System (IMS) and working closely with the SHEQ/COO team to develop and maintain the IMS system.
Key Responsibilities- Assist with the general maintenance and administration of the Management System, ensuring all documentation is up-to-date and accurate.
- Provide effective administrative support, including document control, data entry, and record-keeping.
- Act as a support function and helpdesk for any queries relating to the Audit Management System, providing timely and accurate responses to colleagues and managers.
- Complete all change management documentation as required, ensuring compliance with company policies and procedures.
- Work to deadlines and send out weekly and monthly reminders for all SHEQ-related outputs, ensuring timely completion of tasks and projects.
- Input data effectively and competently to several different systems, maintaining accurate and up-to-date records.
- Assist with the documenting of insurance claims, ensuring all necessary information is collected and recorded.
- Maintain a compliance calendar with timely reminders for colleagues and managers, ensuring all regulatory requirements are met.
- Administer sub-contract and Supplier Selections process, ensuring all necessary documentation is completed and approved.
- Maintain Asset Registers for company infrastructure, ensuring all assets are accurately recorded and up-to-date.
- Maintain a Register of Site Auditing and Monitoring, ensuring all necessary information is collected and recorded.
- Liaise as necessary with COO/SHEQ and External Specialist for advice, ensuring all necessary information is shared and documented.
- Experience working within an Engineering industry, with knowledge of Management Systems SHEQ (Health & Safety, Quality, Environmental or Energy).
- Knowledge of legal compliance, with the ability to apply this knowledge in a practical setting.
- High level of administrative skills, with the ability to work accurately and efficiently in a fast-paced environment.
- Good communication skills, with the confidence to communicate with staff of all levels, both verbally and in writing.
- Able to work well on more than one task at a time, with the ability to prioritize tasks and manage time effectively.
- Down-to-earth with realistic expectations, with the ability to work well under pressure and meet deadlines.
- Willingness to take on training and expand knowledge, with the ability to learn new skills and apply them in a practical setting.
- Effective ICT skills in Sharepoint, Word, Powerpoint, and Excel, with the ability to use these tools to support the IMS system.
