Position: Medical Secretary - Surgical Care Group / Colorectal

Band: 4

An exciting opportunity has emerged for a temporary role to cover Maternity Leave for a skilled Medical Secretary to join the Colorectal team within the Surgical Care Group. The successful candidate will collaborate with a dedicated secretarial team committed to enhancing patient experiences.

This role involves supporting two to three Consultant Colorectal Surgeons, with responsibilities including managing schedules, overseeing outpatient activities, handling waiting lists, tracking referrals, and composing clinic correspondence.

The ideal candidate should possess strong organizational skills, the ability to prioritize their workload, work independently, and adhere to strict deadlines.

Applicants are expected to have completed the AMSPAR course or possess equivalent qualifications, along with relevant experience in a healthcare setting and a solid understanding of medical terminology. Familiarity with EPRO (clinic letter tool) is a plus.

Main Responsibilities

  • Provide comprehensive administrative support to consultants and specialty teams, including nurse practitioners and clinicians.
  • Maintain an organized diary, schedule appointments, and coordinate travel and accommodation arrangements.
  • Implement an efficient filing and bring-forward system.
  • Manage and uphold 18-week pathways, including tertiary referrals to external trusts, ensuring accurate documentation on the PAS system and timely patient reviews.
  • Mentor and supervise relevant staff as needed, addressing annual leave requests and conducting return-to-work interviews for sickness absence.
  • Assist consultants with non-clinical tasks by preparing presentation materials and organizing meetings with set agendas.

Key Qualifications

  • Educated to GCSE/O Level standard or equivalent.
  • RSA/OCR Typing/Word Processing Level 3 or equivalent.
  • RSA/OCR Audio Typing Skills Level 3.
  • Knowledge of medical terminology.
  • Secretarial qualification or equivalent experience.
