This role involves working across multiple sites, ensuring a seamless reception service is provided to both the public and clinical teams in a fast-paced environment.
Key Responsibilities
- Lead and supervise the administration staff within the reception areas, offering guidance on daily priorities and addressing any risks or issues that arise.
- Implement and enhance administrative systems to effectively meet service demands, ensuring that office procedures align with best practices.
- Manage the registration and renewal of staff smartcards, ensuring compliance with the Smartcard Management Service.
- Oversee financial responsibilities related to prescription funds and ensure adherence to financial protocols.
- Maintain efficient patient filing systems, ensuring records are secure, confidential, and accessible when needed.
- Handle both routine and urgent matters with minimal supervision, demonstrating initiative and problem-solving skills.
- Monitor data quality within the reception areas and manage staffing levels during absences.
- Produce staff rotas to ensure adequate coverage across all sites.
- Facilitate the training and development of new staff members, ensuring they are well-equipped to deliver high-quality service.
- Conduct performance reviews and support staff in their professional development.
- Ensure compliance with confidentiality, data protection, and information governance policies.
- Collaborate with outpatient and inpatient administration teams to uphold procedural standards.
