Key Responsibilities:
- To receive all event inquiries and establish initial contact with clients.
- To meet with clients at the hotel to discuss events, how the hotel can meet their requirements, and conduct a tour.
- To communicate promptly with clients throughout the process, providing rates, prices, and necessary information to facilitate decision-making.
- To be flexible in availability to meet and correspond with clients as needed.
- To collaborate with the General Manager, Head Chef, and department heads to determine the type of event, the extent of service the hotel can provide, and additional amenities and activities that can be accommodated on site.
- To liaise with external contractors and service providers on behalf of clients.
- To work closely with the Head Chef and Sommelier or Bar Manager regarding food and beverage offerings.
- To be familiar with common food allergens and confident in discussing menus to meet specific dietary requirements.
- To create detailed event sheets for each occasion, ensuring all client expectations are met.
- To develop a portfolio of suppliers and service providers for events at the hotel, negotiating favorable prices and building successful relationships.
- To maintain a positive relationship with the local government registrars for civil ceremonies.
- To prepare and submit contracts to clients when necessary, arrange payment of deposits, and staged prepayment as applicable.
- To be present at each event as often as possible to provide continuity and reassurance to clients.
- To follow up promptly with clients after each event to ensure satisfaction, obtain feedback, and note recommendations for improvement.
- To promote and market Château de Mercuès as an events venue on a national basis, representing the hotel through media and platforms of an appropriate standard.
- To contribute to the hotel's promotional activities and make a valued contribution to the updating and ongoing refreshment of the hotel website.
- To build relationships with member representatives at Relais & Chateaux and POB Hotels to maintain a high profile in promotional activities.
- To be responsible for Château de Mercuès' social media visibility, with daily posts to capture and maintain interest in hotel activities.
- To be fully conversant with the hotel's packages, incentives, and menus, including the components, presentation, and delivery of each dish within the restaurants.
- To anticipate demand and expectation, promote hotel services and facilities to maximize sales opportunities and revenue, and enhance the guest experience.
- To participate in the maximization of hotel revenue.
- To assist the team in achieving a consistently high standard of performance and continuous improvement of staff skills and attitude.
- To display a positive, willing, and professional attitude at all times.
Requirements:
- To be motivated and well-organized with a keen eye for detail, to be creative and able to use initiative to achieve the required result.
- To demonstrate the highest standards of grooming and personal presentation at all times.
- To have the character and communication skills to engage confidently with hotel guests, clients, and colleagues at all levels.
- To maintain an enthusiastic and flexible attitude towards the role and a commitment to providing the best possible experience.
Additional Information:
- Full-time permanent contract at £32,000 to £35,000 per annum.
- Meals on duty.
- Onsite parking.
- Generous employee discounts.
- This is a full-time permanent position, five days over seven, Monday to Sunday.
