About the Role

We are seeking a highly organized and detail-oriented Facilities Advisor to join our team at Sussex Community. As a key member of our administration team, you will play a vital role in ensuring the smooth operation of our facilities and providing exceptional support to our patients and staff.

Your primary responsibility will be to ensure that our administration systems are running efficiently and effectively, providing high-quality support to our patients and staff. This will involve implementing clear and robust systems, maximizing the quality and accuracy of outputs, and providing day-to-day supervision of band 2 admin staff.

You will also be responsible for providing secretarial support to designated operational leads and senior clinicians, including preparing meeting agendas, taking formal minutes, and diary management.

We are looking for someone with excellent communication and interpersonal skills, who is able to work effectively in a fast-paced environment and prioritize tasks to meet deadlines.

Key Responsibilities
  1. Ensure the effective and efficient administration of projects, processes, and systems to enhance patient care.
  2. Maximize the effective use of resources by supervising band 2 admin staff and implementing clear and robust systems.
  3. Provide exceptional support to patients, staff, and stakeholders, ensuring that they have access to our services and information.
  4. Contribute to the maintenance of a well-organized and efficient office environment, including ordering supplies and equipment as required.
  5. Provide secretarial support to designated operational leads and senior clinicians, including preparing meeting agendas, taking formal minutes, and diary management.
Requirements
  • 2 A/AS levels (any grade), NVQ level 3, BTEC diplomas, Certificates and Awards, International Baccalaureate diploma or equivalent or Level 3 qualification.
  • Proven experience in office systems, with advanced use of Microsoft Office, i.e. MS Word, PowerPoint, Outlook, and Excel.
  • NHS specific IT system experience, understanding of NHS Community Services, supervision of staff, and basic experience of a financial system (preferably Agresso).
