Office Manager

H2O Recruitment Services Ltd is seeking an experienced Office Manager to join their team. As a key member of the organization, you will be responsible for providing administrative support to the company's operations.

Key Responsibilities:
  • Administrative Support: Provide administrative assistance to the management team, including preparing reports, managing files, and maintaining office supplies.
  • Financial Management: Assist with financial tasks such as project billings, credit card processing, and correspondence.
  • Customer Service: Provide excellent customer service to external customers, responding to inquiries and resolving issues in a timely manner.
  • Sales Support: Assist with sales-related tasks, including preparing sales reports and maintaining sales data.
  • Office Coordination: Coordinate office functions with other departments, ensuring seamless communication and collaboration.
  • Employee Onboarding: Assist with the onboarding process for new employees, including preparing necessary documents and providing orientation.
  • Project Management: Assist with project management tasks, including preparing project status reports, processing purchase orders and invoices, and maintaining project data and documentation.
  • Budget Management: Manage project budgets for subject properties, ensuring accurate financial tracking and reporting.
  • Filing and Documentation: Maintain accurate and up-to-date filing systems, including assigning file numbers, action items, and distribution for project file systems.
  • Process Improvement: Identify opportunities for process improvement within the company, implementing changes to increase efficiency and productivity.
Requirements:
  • Experience: Demonstrated ability to respond swiftly and appropriately to changing demands, with a proven track record of success in a multi-dimensional role.
  • Skills: Excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment.
