As a Lead Events Specialist, you will be responsible for...
- A minimum of 18 months of experience in event coordination within a reputable hotel or event management company with multiple meeting spaces
- Proven telesales experience with both reactive and proactive sales capabilities
- Proficiency in computer applications, particularly Event Management Diary and preferably Opera
- Prior experience in room reservations
- A self-motivated approach with a strong passion for sales and achieving targets
- Excellent interpersonal skills and a collaborative team spirit
- Strong attention to detail and effective administrative abilities
- Outstanding presentation, communication, and interpersonal skills with a professional demeanor
- Flexibility in working hours, typically five days a week (generally Monday to Friday during standard office hours, with occasional evening and weekend shifts)
Your responsibilities as a Lead Events Specialist will include:
- Managing and processing all inquiries for conferences and functions held within our Food & Beverage outlets, ensuring that client requirements are fully understood and met while maximizing revenue and profits
- Accurately recording and processing all bookings, cancellations, and amendments in the M & E computer system (Events 500), maintaining the highest quality standards in all information and printed materials
- Effectively communicating client needs through the distribution of weekly function sheets and amendments, ensuring consistent communication with the hotel's operational teams on a daily basis and during weekly operations meetings
- Filling in business gaps when Food and Beverage Outlets are not booked
- Facilitating a seamless booking process for accommodation to meet all client needs
- Participating in daily/weekly business meetings to ensure smooth operations across all departments
- Conducting site visits for potential clients and coordinating bookings for Food and Beverage outlets as well as Rooms
- Ensuring that all test calls/emails are managed in accordance with company standards
- Producing and presenting the weekly M&E forecast in the absence of the Revenue & Events Office Manager
- Maintaining the client database and fostering relationships with existing meetings and events clients while successfully developing new client connections
