About the Role

We are seeking a highly organized and detail-oriented Reception & Office Administrator to join our team at Costello Medical. As a key member of our Facilities team, you will be responsible for ensuring the smooth day-to-day operation of our Cambridge office.

Key Responsibilities
  • Front Desk Management: Greet visitors, manage the virtual telephone switchboard, and monitor messages via the Facilities team inbox.
  • Office Maintenance: Ensure the office is safe, tidy, and professional, including managing the kitchen to a high standard.
  • Visitor Management: Book visitors onto the appropriate security system(s) for all our UK offices.
  • Relationship Building: Build relationships with service providers and suppliers, as well as liaise with the building's management team.
  • Supply Management: Purchase general supplies, such as kitchen consumables and stationery.
  • Event Support: Assist with the organization of internal and external events, such as client meetings and office socials.
  • Asset Management: Maintain the company's asset management system and associated processes.
  • Health and Safety: Perform basic health and safety checks, for which training will be provided.
  • Support Services: Provide ad-hoc support to the Facilities Management Assistant and the wider Operations team, where required.
Requirements
  • Strong Organizational Skills: Ability to plan and prioritize your own time and communicate this to others.
  • Excellent Productivity: Ability to work confidently on your own and with a high degree of autonomy.
  • Attention to Detail: Exceptional attention to detail and high professional standards.
  • Excellent Communication: Excellent written and verbal communication skills.
  • Customer Service: Passion for, and dedication to, providing excellent customer service in a facilities role.
  • Technical Skills: Experience using Microsoft Office.
