Business Operations Support Specialist

RINA is seeking a UK Administrative Support Coordinator to join its dynamic team within the Consulting Planning, Monitoring & Business Support Division.
Role Overview
The UK Administrative Support Coordinator serves as a key resource for delivering comprehensive administrative assistance across all UK Business Areas. This role collaborates closely with the UK Business Support team, providing essential support to operational units, commercial teams, and engaging with various corporate functions such as procurement, QHSE, and finance.
The position is based in our South Wales office.
Primary Responsibilities
General Administrative Duties
- Deliver general administrative assistance to the UK Operations and Management Team as needed.
- Organize external training sessions for staff and maintain up-to-date records.
- Provide local office support, including handling phone inquiries, managing deliveries, and facilitating general office operations.
- Assist in scheduling maintenance for office equipment.
- Offer administrative support for bids, including gathering necessary documentation and completing pre-qualification forms.
- Ensure accurate data entry into systems, including customer information, quotes, and orders.
- Support the organization of events, meetings, or gatherings as required.
- Address general ad hoc inquiries from teams.
Procurement Assistance
- Gather relevant quotes for purchases and communicate with suppliers to ensure all required information is provided.
- Process purchase requests and track approvals through the Procurement system.
- Verify supplier invoices for accuracy and confirm receipt of all goods/services.
- Handle miscellaneous purchasing needs for the office.
- Arrange travel requirements for the business through approved suppliers, including car rentals, flights, hotels, and rail travel, ensuring travel logs are maintained.
Required Qualifications
- Minimum of 5 GCSEs at grade C (or equivalent) and above, including Maths and English / Proven experience in a robust administrative or office support role.
- Background in an engineering consultancy or a similar industry.
- Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
