About the Role

Reporting directly to the Head of Sales, the Proposal Specialist will play a crucial role in supporting the bid owner by coordinating the complete bid process, ensuring adherence to best practices, and developing comprehensive documentation and technical responses in accordance with the Company's protocols.

The Proposal Specialist will also assist the Commercial and Operational teams in securing new business and nurturing existing client relationships. This role involves collaboration across various departments to craft compelling proposals and maintain accurate, relevant bid materials by thoroughly understanding customer specifications in preparation for bids.

Key Responsibilities:

  • Developing, monitoring, and continuously enhancing the Company's documented bid process, which includes:
    • Creating and refining high-quality bid submissions, contributing to both content and presentation.
    • Engaging in bid/no-bid discussions.
    • Completing Pre-Qualification Questionnaires (PQQs).
    • Early engagement with key stakeholders and subject matter experts, including organizing bid kick-off meetings and maintaining ongoing communication.
    • Understanding bid requirements and identifying comprehensive customer needs.
    • Driving innovation to enhance bid value.
    • Collaborating with stakeholders to review bid documents, identify risks (financial, commercial, legal, and operational), compile clarification questions, and ensure compliance with bid deadlines.
    • Facilitating key review meetings and ensuring final document approval.
    • Producing or overseeing the creation of high-quality customer-facing documents and presentations.
    • Completing bid pricing documents.
  • Ensuring timelines are met at each stage of the bid process, including all internal governance, while proactively setting realistic deadlines to guarantee timely submission of compliant and commercially viable bids.
  • Maintaining the Company's CRM and accurate records of bid activities and submissions in an organized manner for easy retrieval and monitoring. Generating reports as necessary.
  • Working closely with the Account Management team to provide written content for existing business inquiries, including formal tender processes and mini proposals.
  • Monitoring public sector tender portals to identify new bidding opportunities and reporting these to the Head of Sales and the broader team as needed to support bid/no-bid decisions.
  • Maintaining the Bid Library, including updating collateral such as case studies with assistance from relevant internal stakeholders.
  • Collaborating with marketing to create customized customer materials and redesign bid content.
  • Performing duties diligently, adhering to accepted best practices, and acting in good faith in alignment with the Company's mission and values.
  • Providing training to bid stakeholders as required.

  • Strong understanding of supply chain procedures and company law related to procurement and waste services (desirable).
  • Background in waste solutions, including reuse innovations (desirable).
  • Proven knowledge of waste and competitor landscapes (desirable).

Qualifications:

  • Degree-level education, NVQ, or equivalent.
