Job Overview

An exciting opportunity has emerged within the East Lancashire Hospitals NHS Trust for a Floating - Administrative Support Specialist. This is a full-time and permanent role, where your primary location will be within the community health settings. Once fully trained, you will provide essential coverage across various sites as required. The working hours are 7.5 hours per day, scheduled between 8am – 8pm.

We are looking for candidates who are enthusiastic, dedicated, and committed to enhancing patient services. Excellent communication skills and the ability to perform under pressure are essential to deliver comprehensive administrative support to all services operating within the health centre. The successful candidate will be expected to provide a high-quality service to the public, patients, and staff alike.

Key Responsibilities

A flexible approach to work is crucial, as you will be required to assist at different Trust locations during operational hours. Comprehensive training will be provided on all systems utilized at the health centre. Your responsibilities will include, but are not limited to:

  • Operating a busy switchboard and addressing inquiries from patients, staff, and stakeholders.
  • Managing the electronic booking system for the Treatment Room Service, which involves greeting patients and scheduling appointments.
  • Handling multi-purpose room bookings, reporting maintenance requests, and managing all aspects of incoming and outgoing mail.
  • Utilizing your previous reception experience and organizational skills to multi-task effectively, working both independently and as part of a team.

The standard hours at the health centre are 8.30am - 5pm (with a 1-hour lunch break) from Monday to Friday, with the possibility of occasional evening or Saturday shifts based on departmental needs.

The Community Administration team serves a significant portion of the East Lancashire area, supporting patients across multiple facilities. Detailed Responsibilities

Your role will encompass a variety of tasks, including:

  • Providing a general inquiry and reception service for patients, visitors, and staff.
  • Operating the switchboard, addressing queries, and directing calls to healthcare professionals.
  • Efficiently managing patient appointments, ensuring confidentiality and sensitivity in all interactions.
  • Maintaining accurate filing systems and patient records.
  • Handling incoming and outgoing mail, including sorting and redirecting as necessary.
  • Ordering and managing office supplies and maintaining inventory levels.
  • Collaborating with other departments to ensure smooth operations and communication.

You will also be responsible for ensuring compliance with health and safety protocols, assisting with patient transport requests, and providing administrative support to healthcare professionals as needed.

Candidate Profile Qualifications Essential Criteria
  • GCSE Grade C/4 in English & Maths or equivalent.
  • ECDL or equivalent qualification.
