As a Sales and Reservations Specialist, you will ensure the seamless operation of the reservations and sales functions within the organization. Your responsibilities will include addressing reservation inquiries through various communication channels, liaising with the venue regarding bookings, cancellations, and special requests, and delivering outstanding service to all guests.
Key Responsibilities:
Inquiry Management
Respond promptly to reservation inquiries via phone and email.
Handle all group calls with professionalism, accurately identifying and fulfilling the caller's needs.
Manage booking cancellations and reconfirmations efficiently.
Collaborate with colleagues to enhance the overall guest experience.
Follow established procedures for confirming bookings, including deposits, payment details, and pre-orders.
Provide detailed information about venue offerings (menus, packages, terms, and conditions) to guide guests toward suitable options while maximizing upselling opportunities.
Recognize that the guest experience begins at the inquiry stage and ensure compliance with Incipio Group's service standards.
Maintain comprehensive knowledge of available products, promotional events, and dietary accommodations.
Proactive Sales Initiatives
Assist the Group Sales & Reservations Manager with proactive sales strategies.
Engage potential guests through warm leads generated from our website, consistently striving to exceed expectations and leverage insights for increased sales.
Accurately process orders and manage follow-ups for potential sales.
Identify and relay significant sales leads for large bookings to the Group Sales & Reservations Manager.
Demonstrate motivation and a proven track record in maximizing sales opportunities by enhancing guest value at every interaction.
Conduct outreach programs to local businesses, inviting them to experience our venues.
Drive and expand pre-booked sales through proactive engagement and effective conversion of inquiries.
Collaborate with other departments to create an exceptional guest experience and develop comprehensive sales programs.
Build and nurture relationships with local clients and guests to establish a strong base of new and repeat business.
Implement cross-selling strategies to optimize sales opportunities across the group.
Achieve inbound and outbound sales targets consistently.
Effective Communication
Resolve customer issues swiftly and effectively.
Work closely with General Managers and on-site management teams, including Head Chefs, to ensure a thorough understanding of venue requirements.
Qualifications:
Experience with restaurant booking platforms.
Background in food-centric businesses, particularly with large pre-orders and private dining.
