About the Role:
Gentoo, a values-led charitable organisation, is seeking an experienced Administrative Support Specialist to join the Property Asset Management Department. The successful candidate will provide efficient and effective administration support to the Asset Department and colleagues, working 36 hours per week within core hours.
Key Responsibilities:
- Manage day-to-day queries through the management of a dedicated email inbox and telephone enquiries from internal and external customers.
- Attend meetings for minute taking and arrangement of appointments for stock condition surveys.
- Prepare documents using Microsoft Word, including the creation of mail merges.
- Administration duties to support the department, including arrangement of meetings, raising orders, recording and inputting data, post, archiving, filing and updating/retrieval of records.
- Maintain department stationery requirements as necessary.
Requirements:
- Demonstrable experience working in a busy office environment, handling large volumes of internal and outbound calls.
- Proficient user of Microsoft Office suite, used to arrange and book survey appointments.
- Minutes taking for operational meetings.
- Effective communication skills and ability to communicate at a range of levels.
- Excellent organisational and administration skills.
