Key Responsibilities:

  • Serve as the primary contact for incoming IT equipment necessary for project sites.
  • Manage IT requests related to server access and project communication groups.
  • Oversee the printing and upkeep of all physical project documentation.
  • Familiarize with procurement systems for generating Purchase Orders, processing invoices, and managing goods receipt.
  • Organize and file project drawings appropriately.
  • Update organizational charts as required.
  • Manage the ordering of office supplies and consumables.
  • Ensure the proper receipt and organization of delivered office supplies.
  • Coordinate site orders for Personal Protective Equipment (PPE) and verify deliveries.
  • Process Goods Receipt Notes (GRNs) and manage timesheet submissions.
  • Scan and file Quality Submission Packs and related documents.
  • Scan and file Delivery Notes and forward them to the accounts department.
  • Facilitate employee inductions.
  • Proactively manage the allocation of meeting rooms.
  • Schedule and coordinate deliveries effectively.
  • Adhere to the company's standard operating procedures for document submissions and management.
  • Collaborate with the main document controller to address discrepancies and fulfill requirements.
  • Maintain comprehensive control over the downloading of project documents onto the server, ensuring accurate updates.
  • Register and upload documents to the designated platform, ensuring full distribution to the supply chain.
  • Monitor the status of outgoing documents and comments.
  • Maintain and update logs for outgoing information, including drawings, Risk Assessments and Method Statements (RAMS), technical submissions, samples, benchmarks, and Requests for Information (RFIs).

Required Experience/Qualifications:

  • Proven ability to take ownership of responsibilities and work independently.
  • Capability to collaborate effectively within a team environment.
  • Exceptional time management and organizational skills.
  • Ability to prioritize tasks and allocate time efficiently.
  • Strong attention to detail.
