An exciting opportunity has emerged to become a vital part of our Logistics division. This role is centered around providing essential administrative assistance to our logistics and warehousing teams. You will play a key role in coordinating their activities and travel needs, ensuring smooth operations across various departments.

Key Responsibilities

  • Manage and respond to requests through our internal Help Desk ticketing system for the Logistics and Field Support teams.
  • Communicate updates on ticket statuses to stakeholders, providing follow-ups and escalating issues as necessary.
  • Ensure adherence to Service Level Agreements (SLAs) while delivering timely and efficient support.
  • Assist in the collection of timesheets for the Logistics and Field Support teams, submitting necessary payroll adjustments.
  • Compile and submit expense reports for the logistics department to the Finance team.
  • Coordinate travel arrangements and accommodation bookings for logistics personnel.
  • Collaborate with the Field Support team to schedule maintenance for promotional equipment, liaising with other departments as needed.
  • Oversee the inventory of office supplies and staff welfare items.
  • Maintain records of uniforms and safety equipment for the logistics team.
  • Perform general administrative tasks, including filing, photocopying, scanning, and document management.
  • Update and maintain various spreadsheets related to internal costs, fleet usage, and other operational metrics, providing reports to relevant stakeholders.
  • Assist in directing incoming calls and messages to appropriate team members.
  • Organize meetings for logistics and field support, ensuring meeting rooms are booked as required.
  • Work alongside the Mobile Maintenance Manager to coordinate the upkeep of promotional units across retail locations, including maintaining repair records and managing stock levels.
  • Support the logistics team in ensuring compliance with data protection regulations.
  • Assist the Fleet Coordinator in managing the company’s vehicle fleet, including hire vehicles.
  • Perform additional duties related to the logistics and field support teams as required.
