Provide timely and efficient support to our Help Desk ticketing system, ensuring that all requests are reviewed, triaged, and responded to in a timely manner.

Communication and Coordination

Communicate with requestors and stakeholders to provide updates on Help Desk ticket status, conduct further investigations, and escalate as needed.

Time Sheet and Expense Management

Support the collation of time sheets and expenses for the Logistics team, ensuring accurate and timely submission to Payroll and Finance.

Travel and Accommodation Arrangements

Coordinate travel and accommodation arrangements for the Logistics team, ensuring that all necessary arrangements are made in a timely and efficient manner.

Office and Staff Welfare Supplies

Monitor and maintain office and staff welfare supplies, ensuring that all necessary items are stocked and available.

Logistics Team Uniform and Safety Equipment

Monitor and maintain a record of the Logistics team uniform and safety equipment, ensuring that all necessary items are up-to-date and compliant.

General Administration

Perform general administrative duties, including filing, photocopying, scanning, and printing of documents, typing up meeting notes, managing post, and maintaining and updating contact lists.

Spreadsheets and Reporting

Update and maintain spreadsheets pertaining to internal costings, fleet usage, warehouse storage, additional hours, work-related fines, sickness, and holidays, providing reports to key stakeholders as needed.

Customer Service

Provide excellent customer service, helping to screen and direct incoming calls and messages to appropriate staff members.

Meeting Coordination

Schedule meetings for the Logistics team, booking meeting rooms as needed.

Fleet Management

Support the Fleet Coordinator to manage and coordinate N2O Limited's range of vans and cars, including hire vehicles.

GDPR Compliance

Support the Logistics team in ensuring GDPR compliance, ensuring that all necessary procedures are in place.

Requirements

  1. Excellent Communication Skills

Excellent English written and verbal skills, with the ability to communicate effectively with colleagues and stakeholders.

Administrative Experience

Experience working in an office environment in an administrative capacity, with a strong understanding of administrative procedures and systems.

Technical Skills

Good working knowledge of MS Office and Excel, with the ability to learn and adapt to new systems and procedures.

Flexibility

Able to work out of our Colnbrook office, with flexibility to work varying shifts and hours as needed.
