Job Title: Office Administrator

We are seeking a highly organized and detail-oriented Office Administrator to join our team at Baby Scanning Ltd in Glasgow. As an Office Administrator, you will play a vital role in ensuring the smooth operation of our clinic, providing exceptional customer service, and supporting our sonographers and administrative staff.

Key Responsibilities:
  • Provide administrative support to the sonographers and administrative staff, including preparing patient records, managing inventory, and processing payments.
  • Ensure accurate and timely financial reconciliations, including cash handling and banking.
  • Manage supplier contracts, including ordering and inspecting materials, and ensuring effective internal delivery and distribution processes.
  • Process invoices, validate payments, and ensure refunds are authorized and processed in line with company policy.
  • Assist with appointment bookings, patient communication, and clinic operations.
Requirements:
  • Excellent communication and interpersonal skills, with a positive disposition and smart personal appearance.
  • Previous experience in a similar role, with a strong understanding of administrative processes and procedures.
  • Intermediate skills in Microsoft Office packages, including Excel, Word, and Outlook.
  • Ability to work independently and as part of a team, with a strong attention to detail and organizational skills.
