Position Overview

Team Collaboration.

  • Engage with the office team through clear and informative communications to ensure essential notifications are disseminated in accordance with company policies.
  • Participate in regular site facilities management meetings and address action items as required.
  • Provide continuous support for the Facilities Management & Property team on both minor and major projects.
  • Organize monthly reports and quarterly discussions with key suppliers to review ongoing performance metrics in collaboration with our Supplier Relationship Manager.
  • Work closely with the Audits team to ensure compliance and operational efficiency.

Proactive Approach.

  • Oversee and manage the inventory of office supplies, ensuring timely ordering of necessary consumables for various office areas.
  • Process and issue Purchase Orders related to Property and Facilities.
  • Maintain and update contact lists relevant to Facilities Management and Property.
  • Ensure the upkeep and operational integrity of office facilities, including HVAC systems, lighting, plumbing, and security infrastructure.
  • Foster a clean, professional, and welcoming atmosphere within the office environment.

Integrity in Operations.

  • Address facilities-related concerns with the service provider and ensure resolution is achieved.
  • Support adherence to compliance standards across the estate utilizing our Computer Aided Facilities Management (CAFM) System, Elogbooks.
  • Organize and manage files on shared online platforms, streamlining access to property and audit documentation.
  • Prepare and uphold accurate records and documentation pertinent to facility operations and audits.
  • Maintain a comprehensive understanding of Whistl accreditations and ensure compliance through regular activities such as inspections and supporting the team with non-conformance issues and improvements.
