Job Summary

The Royal Society is seeking a highly skilled and experienced Senior Scientific Programmes Officer to join its team. As a key member of the Scientific Programmes team, you will be responsible for planning and delivering high-profile events, including the annual Fellowship induction programme, milestone events, and VIP events.

Key Responsibilities
  • Lead the end-to-end delivery of an annual portfolio of Fellowship and milestone events, ensuring successful delivery to a high standard and meeting objectives.
  • Contribute to the setting of plans, event objectives, and timescales, and proactively flag any required changes or updates to the Head of Scientific Programmes.
  • Ensure event plans include flexibility to accommodate virtual or hybrid alternatives as needed.
  • Resolve logistical and resource issues that arise during event organisation, escalating as necessary.
  • Work closely with internal colleagues to ensure logistical arrangements support event goals.
  • Lead and supervise onsite event delivery, ensuring adequate resource is in place.
  • Draft written materials, such as concept notes, briefing documents, and reports for various audiences.
  • Monitor reputational risks of programmes or events, raising concerns with the Head of Scientific Programmes and other colleagues as needed.
  • Create and manage registration processes for each meeting or programme, ensuring effective administration.
  • Effectively manage event budgets, ensuring delivery within agreed parameters and documenting information.
  • Ensure contributors and participants are appropriately acknowledged and thanked.
  • Conduct post-event debriefs and implement lessons learned for future events.
Requirements
  • Education to degree level or equivalent experience.
  • Excellent knowledge of IT (Microsoft Office Suite) and databases.
  • Excellent interpersonal skills, diplomatic, and with a high degree of cultural awareness.
  • Experience of managing people.
  • Outstanding written and verbal communication skills, with the ability to convey information to various audiences.
  • Ability to prioritise and manage a varied workload.
  • Understanding of the scientific and academic community.
Desirable Qualifications
  • Demonstrable experience of managing complex high-profile events and/or programmes.
  • Highly developed organisational skills, with evidence of strong project management, attention to detail, and meticulous planning.
  • Proven ability to form strong working relationships with various individuals, including senior leaders, internal and external stakeholders, and suppliers.
  • Experience of managing suppliers and negotiating contracts.
  • Experience of managing budgets, including forecasting and reconciliation.
  • Experience of establishing and maintaining a network of contacts.
  • Experience of project evaluation.
Working Arrangements

The successful candidate will be required to work flexibly, including evenings and weekends on occasion.
