Key Responsibilities:
  • Oversee and assist in the resolution of all client sales invoice inquiries promptly and professionally.
  • Conduct thorough investigations into discrepancies and issues related to sales invoices, collaborating closely with the operations, finance, customer service, and sales support teams.
  • Ensure accuracy, completeness, and compliance of all sales invoices generated by the divisional operations team with company policies and regulatory standards.
  • Manage and comprehend the functionality of client billing portals to facilitate seamless processing and resolution of billing challenges.
  • Maintain comprehensive records of all invoice inquiries and their resolutions, ensuring proper documentation for audit requirements.
  • Engage effectively with clients to clarify and resolve billing matters, delivering exceptional customer service.
  • Work in partnership with finance and operations teams to enhance invoicing processes and minimize errors.
  • Prepare and deliver regular reports on trends in invoice inquiries, resolutions, and outstanding issues to senior management.
  • Contribute to the development and execution of training programs for divisional staff regarding invoicing procedures and best practices.
  • Assist the credit control and operations teams with related tasks as necessary.
  • Support divisional operations in managing and analyzing unbilled work.
Candidate Profile:
  • In-depth understanding of customer invoicing processes and compliance with regulatory requirements.
  • Proven experience in overseeing and understanding client billing portals.
  • Exceptional problem-solving abilities and meticulous attention to detail.
  • Proficient in Microsoft Excel.
  • Strong communication and interpersonal skills with both internal and external stakeholders, capable of managing challenging client interactions.
  • Able to work independently and collaboratively within a team, juggling multiple priorities in a dynamic environment.
  • Demonstrated capability to analyze data, identify trends, and provide actionable insights.
  • Exemplary integrity and professionalism.
  • Enjoys the challenge of resolving queries and achieving positive outcomes.
