Job Summary

Hexagon's Autonomy and Positioning division is seeking a highly organized and detail-oriented Office Administrator to manage reception and provide administrative support to the organization. Based in our Veripos office, this role will involve coordinating business travel, updating documentation, and providing a professional service to site visitors.

Key Responsibilities

  • Liaise with the Travel Management Company to arrange flights for employees, ensuring timely and efficient travel arrangements.
  • Manage reception duties, ensuring excellent customer service to employees, visitors, and contractors.
  • Coordinate lunch orders for employees as required.
  • Support the Facilities & QA Co-ordinator in coordinating third-party services and maintenance for Veripos House, adhering to the annual maintenance plan.
  • Gather information for quarterly reporting on behalf of the QHSE & Facilities department.
  • Conduct monthly inspections of first aid kits and update stock as necessary.
  • Collaborate with the Facilities & QA Co-ordinator to conduct monthly water quality checks and weekly fire alarm tests.

Requirements

  • Hold a HNC/HND qualification or equivalent.
  • Have at least 5 years of experience in a similar role.
  • Proven experience in booking business travel and liaising with Travel Management Companies.
  • Proficiency in Office 365 tools, including Word, Excel, PowerPoint, and SharePoint.

Desirable Skills

  • Awareness of Quality, Environmental, or Health & Safety requirements within the workplace.
  • Previous experience in a Facilities team.
