Key Responsibilities

A position is available for a Healthcare Administrative Coordinator within the Mental Health Division.

We are looking for an enthusiastic and proactive individual with strong administrative and communication skills. The candidate must be able to work independently and under pressure while providing compassionate support to patients and their families dealing with mental health issues.

The Healthcare Administrative Coordinators play a crucial role in the team, often being the first point of contact for patients and their families.

Your primary responsibilities will include delivering comprehensive administrative support to the medical team. Previous experience in a healthcare administrative role, particularly in mental health or a similar setting, is preferred. Proficiency in audio typing and familiarity with clinical systems will be advantageous.

Job Duties

  • Collaborate effectively within the administrative team, fostering productive relationships and demonstrating a clear understanding of the organization's objectives.
  • Provide high-quality administrative and secretarial services to the medical team, ensuring efficient office operations.
  • Prepare documents such as clinic letters, discharge summaries, and other correspondence, utilizing audio typing or shorthand skills as necessary.
  • Manage patient case notes and follow up on care plans as indicated in reports.
  • Coordinate follow-up appointments and referrals to other specialties as required.
  • Ensure timely dictation and typing of discharge summaries and other critical information.
  • Prioritize and manage your workload effectively, often under pressure and without supervision.
  • Respond promptly to urgent situations to maintain a high standard of service for patients and their caregivers.
  • Establish and maintain strong communication with other healthcare professionals involved in patient care.
  • Handle sensitive communications with patients, demonstrating patience and understanding.
  • Relay important information from patients to the medical team accurately and promptly.
  • Maintain the medical team's schedule, organizing meetings and managing related administrative tasks.
  • Assist in organizing training programs and conferences, ensuring all logistical details are addressed.
  • Support the medical team in various specialist activities, ensuring a seamless service delivery.
  • Record new patient referrals and ensure compliance with organizational guidelines.
  • Act as minute secretary for meetings and ensure appropriate follow-up actions are taken.
  • Liaise with reception and diagnostic services to arrange appointments and expedite investigations.
  • Work collaboratively with the clinical support team to deliver comprehensive administrative services.
  • Provide guidance and support to new or less experienced team members.
  • Maintain confidentiality and adhere to data protection regulations.
  • Report any health and safety concerns to management promptly.

Qualifications

Essential

  • Strong educational background with proficiency in English and Mathematics.
  • Relevant qualifications in business administration or equivalent experience.

  • Recognized qualification in medical administration.
