Job Description

Role Overview

The successful candidate will be responsible for assisting with the management of a portfolio of circa 200 units within central Oxford and surrounding areas. This will involve working as part of a team to ensure the smooth operation of the properties, which are owned by institutional and private estate clients.

Key Responsibilities

  • Liaise with tenants on maintenance issues and organize timely repairs via the in-house property management system.
  • Proactively plan and coordinate repair and annual maintenance work.
  • Assist with the marketing, viewings, and lettings of properties.
  • Deal with tenant referencing, Right to Rent checks, and How to Rent documentation.
  • Instruct Savills and third-party letting agents, review and negotiate offers in line with client expectations.
  • Negotiate and document rent reviews.
  • Provide details for the updating and recording of tenancy information.
  • Ensure the timely payment of rents and collection of arrears in collaboration with the Credit Control team.
  • Liaise with tenants over internal and external redecoration of buildings.
  • Prepare specifications, obtain quotations, and instruct contractors to undertake minor works between tenancies.
  • Liaise with the Estate Management team.
  • Arrange check outs, inventories, and return of deposits.
  • Provide client reports.
  • Report to and liaise with clients, including attendance at meetings.
  • Periodically seek agreeable terms to bring tenancies to an end or secure tenant moves in order to meet the clients' strategic aims.
  • Serve notices and attend court proceedings where required.
  • Approve supplier invoice payments.
  • Check properties prior to new lettings, ensuring compliance with health and safety regulations.
  • Liaise with teams for new property legislation.
