Position Overview

We are in search of a dedicated and professional Lead Imaging Patient Pathway Administrator to become a vital part of our dynamic team.

This role is part-time, ideally requiring availability on Wednesday, Thursday, and Friday from 9 AM to 5 PM, with some flexibility possible.

The successful candidate will work within a collaborative environment, supporting a team of 10 administrative professionals.

Your primary responsibility will be to deliver a high-quality administrative support service to both consultants and management, while also overseeing the Imaging components of the patient journey.

Strong communication skills are essential, as you will interact directly with patients, primarily via telephone, requiring a tactful and sensitive approach.

This position demands a proactive attitude to manage the busy office environment effectively, including shared responsibilities and individual workload management.

Proficiency in IT is crucial, particularly with Microsoft Office applications, and familiarity with National Targets for Diagnostic Imaging and RTTs is advantageous.

While knowledge of specific systems such as CRIS, ICE, and Lorenzo is preferred, comprehensive training will be provided.

Applicants should possess NVQ Level 3, GCSE/A Level qualifications (including English and Maths) or demonstrate relevant office experience.

Key Responsibilities

The Lead Imaging Patient Pathway Administrator will oversee the Imaging elements of the patient journey, providing essential administrative support.

Core Duties Include:

  • Managing personal workload effectively.
  • Training and mentoring newly appointed administrative staff.
  • Delivering a comprehensive service to the clinical team to ensure efficient patient admissions for diagnostic and interventional procedures.
  • Timely management of new and follow-up appointments, ensuring all necessary documentation is completed accurately.
  • Ensuring funding availability prior to scheduling Imaging appointments.
  • Processing relevant paperwork in accordance with patient funding protocols.
  • Maximizing resource utilization, including managing short-notice cancellations.
  • Handling patient appointment cancellations and rescheduling in line with policy.
  • Providing a friendly and efficient service to patients, relatives, and visitors, addressing their needs with empathy.
  • Responding promptly to telephone inquiries and relaying messages appropriately.
  • Communicating any changes to scheduled procedures or diagnostic imaging.
  • Liaising with partner organizations to facilitate patient treatment.

Secretarial Duties

  • Providing comprehensive secretarial support to Consultant Radiologists and senior management, including minute-taking and meeting preparation.
  • Participating in the Secretary of the Day rota, managing phone inquiries and group emails.
  • Implementing agreed pathways for identifying critical findings.
  • Producing and updating Consultant Radiologist rotas and ensuring adequate coverage for clinical sessions.
  • Processing leave requests for Consultant Radiologists and maintaining accurate records.
  • Participating in an efficient typing service for timely report availability.
  • Managing incoming mail and prioritizing clinical reports and referrals.
  • Maintaining regular communication with clinical teams and management for efficient operations.
  • Providing coverage for colleagues during planned absences.
  • Handling various administrative tasks to ensure smooth office operations.
  • Maintaining confidentiality and adhering to Trust policies, including data protection and infection control.
  • Contributing to policy changes within the Imaging Department.
  • Performing additional duties as required, with appropriate training provided.

Qualifications and Skills

Essential:

  • A Level education or equivalent experience.
  • Proficient in IT systems, particularly Microsoft Word and Outlook.
