The Business Support Team is committed to providing exceptional administrative and customer service across various functional areas within Essex County Council (ECC). Our versatile teams operate from Business Centre hubs, offering a broad spectrum of support for high-volume processes, including but not limited to, minute taking, data management, financial tasks, and handling customer inquiries.
We pride ourselves on being proactive and innovative, continuously seeking to improve processes and leverage digital solutions. Our efforts contribute significantly to ECC's mission of delivering superior outcomes for the community.
Role Responsibilities:
As an Administrative Support Coordinator, you will be an integral part of a team focused on delivering effective minute-taking services for various meetings and providing routine administrative assistance within a business centre. You will gain insights into existing processes and systems while developing a comprehensive understanding of ECC's diverse functions.
Your responsibilities will include:
- Delivering high-quality administrative support to ECC, ensuring that all tasks are completed accurately and efficiently.
- Responding promptly to customer inquiries and requests, maintaining a professional demeanor at all times.
- Representing the Business Support service with professionalism and integrity.
- Executing the required activities of the designated business centre(s).
- Providing self-directed administrative support, ensuring the quality of your work and striving for continuous improvement.
- Maintaining confidentiality in accordance with ECC guidelines.
- Collaborating with colleagues to share knowledge and best practices, while identifying more efficient methods for task completion.
- Some onsite work may be necessary.
Qualifications and Skills:
Essential:
- A good standard of basic education, including 5 GCSEs at grade C or above (including Maths and English) or equivalent experience/qualifications.
- Experience in minute taking is desirable, though comprehensive training will be provided.
- Demonstrated ability to take ownership of tasks and meet commitments, with a focus on accuracy.
- Effective communication skills, tailored to meet the needs of diverse audiences; customer service experience is advantageous.
Desirable:
- Experience handling sensitive and/or personal information, with a strong emphasis on confidentiality.
- Proficiency in using computer systems with speed and accuracy, particularly Microsoft Office applications and internal databases.
- Willingness to explore alternative methods of working and adapt to new practices.
- Previous experience in managing filing systems, both electronic and hard copy, is beneficial.
