As an Event Coordination Specialist, you will play a pivotal role in managing and executing events at Château de Mercuès. Your responsibilities will encompass a variety of tasks aimed at ensuring seamless event operations and exceptional client satisfaction.
Key Responsibilities- Serve as the primary point of contact for all event inquiries, establishing initial communication with clients.
- Conduct in-person meetings with clients to discuss event requirements and showcase the venue's offerings.
- Maintain timely communication with clients, responding to inquiries within 48 hours and providing essential information regarding pricing and services.
- Exhibit flexibility in your schedule to accommodate client meetings and correspondence as needed.
- Collaborate with the General Manager, Head Chef, and department heads to determine the scope of services and additional amenities available for events.
- Coordinate with external vendors and service providers on behalf of clients to ensure all event needs are met.
- Work closely with the culinary team to curate food and beverage options tailored to client preferences.
- Possess knowledge of common food allergens and confidently discuss menu options to cater to specific dietary needs.
- Create comprehensive event documentation to ensure all details are meticulously planned and client expectations are fulfilled.
- Develop and maintain a network of suppliers and service providers, negotiating favorable terms and fostering strong relationships.
- Establish and nurture a positive rapport with local authorities for civil ceremony registrations.
- Prepare and manage contracts, including deposit arrangements and payment schedules as necessary.
- Be present at events to provide support and reassurance to clients, ensuring a smooth execution.
- Conduct follow-up communications with clients post-event to gather feedback and assess satisfaction levels.
- Promote Château de Mercuès as a premier event venue through various marketing channels and collaborations.
- Contribute to the hotel's promotional initiatives and assist in updating the hotel’s online presence.
- Build relationships with industry representatives to enhance the hotel's visibility in promotional activities.
- Manage the hotel's social media presence, sharing daily updates to engage the audience with hotel events.
- Stay informed about the hotel’s offerings, including packages and menus, to maximize sales opportunities and enhance guest experiences.
- Actively participate in strategies aimed at increasing hotel revenue.
- Support team members in achieving high performance standards and continuous improvement.
- Exhibit a positive, professional demeanor at all times.
