Position Overview:
The Building Services Manager will report directly to the Director and will oversee a diverse range of small to medium-sized maintenance Planned Preventative Maintenance (PPM) contracts and minor construction projects, primarily within Film Studios. The goal is to ensure that all tasks are executed efficiently and meet the highest standards of quality.


Key Responsibilities:

  • Manage a variety of PPM contracts across a broad client spectrum, ensuring all work is completed within the designated timeframe, budget, and quality standards.
  • Identify necessary remedial actions through contracts to enhance revenue generation.
  • Engage with clients on-site to ascertain their specific needs.
  • Prepare accurate quotes and specifications to secure small works tenders while minimizing costs for maximum profitability.
  • Schedule PPM tasks to ensure timely completion and set reminders for maintenance item expirations.
  • Source suppliers and subcontractors as needed to provide essential materials and labor for project execution.
  • Obtain multiple supplier quotes to ensure the most efficient and cost-effective solutions are selected.
  • Order materials promptly in advance of job commencement to maximize efficiency.
  • Utilize simPRO to ensure all financial documents are processed timely, facilitating prompt job initiation and payment collection.
  • Ensure that Pre-Qualification Questionnaires (PQQs) and relevant insurances and certificates from new suppliers are obtained and maintained in the system.
  • Create method statements and Risk Assessments and Method Statements (RAMS) efficiently for all maintenance tasks.
  • Maintain proactive communication with clients to provide exceptional customer service.
  • Ensure clear communication with management, clients, subcontractors, and suppliers at all times.
  • Maintain constant communication with Project Managers and Directors to stay updated on job statuses.
Team Management:

  • Supervise a Building Services Coordinator.
  • Act as the primary contact for a small team of Engineers, ensuring optimal performance and adherence to established processes and procedures.
  • Maintain regular contact with engineers to monitor job status and ensure they have the necessary resources.
  • Review worksheets and timesheets daily to ensure they contain all pertinent information for clients, providing feedback to employees and management as needed.
  • Proactively identify and address potential issues before they escalate.
  • Implement new processes as required, including toolbox talks and inspection sheets.
  • Ensure engineers are fully trained and competent to perform their roles effectively.
  • Promote and uphold a safe working environment at all times.

Essential Qualifications:
The ideal candidate will possess a proven track record in supervising projects within the Commercial Building/Construction industry. They should:

  • Have a solid understanding of project finances.
  • Possess relevant estimating and quoting experience.
  • Exhibit excellent organizational skills in a clutter-free environment.
  • Be capable of setting targets and completing tasks with minimal supervision.
  • Demonstrate strong man-management skills and communicate effectively to achieve high performance.
  • Be enthusiastic, energetic, and eager to learn.
  • Be accustomed to working under tight deadlines and willing to exceed expectations when necessary.
  • Exhibit strong communication skills and effective time management.
  • Be flexible with a positive 'can do' attitude.
  • Pay meticulous attention to detail, ensuring all outputs are of the highest quality.
  • Be a natural forward planner who critically evaluates their own performance.
  • Be credible and comfortable engaging with clients at all levels.
  • Have reliable commuting capabilities to the office and job sites as required.
  • Possess excellent IT skills, including proficiency in Internet research and MS Office applications, particularly Outlook, Excel, and Word.
  • Adhere to Health and Safety regulations at all times.

Desirable Qualifications:
Knowledge of SimPRO is advantageous, along with a good standard of Office skills. Familiarity with Electrical and Mechanical systems and experience with AutoCAD would also be beneficial.
