About the Employer:
A Global Engineering Consultancy: With over 35 years of experience, our client is a market leader in the industry, known for their well-structured business and warm company culture.
Purpose of the Role:
- Collaborate with the Office Manager and Finance Manager to administer projects from start to finish.
- Provide business administration support to stakeholders, contractors, clients, and project delivery teams, ensuring seamless workflow at each stage of the project.
Key Responsibilities:
- Arrange travel, including requesting travel visas, travel letters, and necessary declarations.
- Set up new projects, including creating folders and trigger sheets, and completing required documents.
- Conduct research for new projects and record relevant information.
- Utilize client portals to upload requested forms and tender documents.
- Support the purchase of PPE and maintain the PPE register.
- Assist with HR administration, including liaising with external entities regarding employment law matters.
- Manage the company's social media presence.
- Prepare project timesheets for input into project profitability reporting.
- Support the preparation of sales invoices and Xero.
- Validate purchase invoices and Xero, and conduct new supplier audits and bank verifications.
- Prepare closing bank balances reconciliations (Bank Statements, Xero).
- Prepare the emergency contact list and other monthly HR reports for payroll.
Person Specifications:
- Minimum of 5 years of administration experience.
- Degree-educated is beneficial but not essential.
- Intermediate to advanced word and Excel skills.
- Highly organized with impeccable attention to detail.
- Results-driven and tech-savvy.
- Ability to work under pressure and meet tight deadlines.
