Job Summary

This is an exciting opportunity to join our team in the role of Receptionist / Administrative Assistant, to support our team in the delivery of our services including GP Out of Hours and Community Diagnostics.

You will be the first point of contact for our patients arriving for a face-to-face appointment and will be friendly and welcoming.

You will ensure an efficient and professional reception provision and will work as part of the wider team to ensure a positive patient experience.

Main Duties and Responsibilities

  • To act as the main point of contact for patients & visitors arriving.
  • Report and action facility issues and faults where required.
  • Where appropriate, escalate Health & Safety and facility issues to the General Manager / Assistant General Manager.
  • To support the clinical teams working in our services with basic requests.
  • To manage the waiting room area whilst patients wait to be seen.
  • Interaction with patients to provide information, signposting, and advice.
  • To demonstrate a competent level of interpersonal skills.
  • Manage and prioritise own workload.
  • Ensure the clinical rooms are stocked where appropriate.
  • To support the Operational Services Team with routine workload booking patients into clinics for other contracts / services.
  • Any other duties as directed.
  • Completion of administrative tasks as directed.

Person Specification

Knowledge and Skills

  • Able to use Microsoft Office Word, Excel and Outlook.
  • Excellent customer service skills.
  • Understand and observe strict confidentiality.

Qualifications

  • Minimum level 2 Maths and English or equivalent (GCSE Grade C or Grade 4 or above).

Other

  • Ability to travel across various sites when required.

Experience

  • 6 months minimum experience in a similar role.
  • Experience in working with SystmOne.

Desirable

  • Experience of working within the NHS or general practice.

Competencies/ Qualities/ Attributes

  • Competent in using Microsoft Office.
  • Good written and verbal communication skills.
  • Able to work well under pressure.
  • Able to work as part of a team.
  • Able to listen and empathise.
