Receptionist Job Description

We are seeking a highly skilled and professional Receptionist to join our team at Group Together Limited. As the first point of contact for our company, you will play a vital role in creating a welcoming environment for clients, employees, and guests alike.

Key Responsibilities:
  • Visitor Management: Greet and welcome visitors in a courteous and professional manner, ensuring a positive first impression of our company.
  • Phone and Email Management: Answer and direct incoming phone calls, responding to inquiries and taking messages as necessary, while also managing email correspondence in a timely and efficient manner.
  • Administrative Support: Provide administrative support to our team, including data entry, filing, and document preparation, ensuring accuracy and attention to detail.
  • Office Maintenance: Maintain the reception area, ensuring it is tidy and organized, and handle incoming and outgoing mail and packages efficiently.
  • Scheduling and Calendar Management: Schedule appointments and manage calendars for staff as needed, ensuring seamless communication and coordination.
  • Confidentiality and Security: Uphold confidentiality and handle sensitive information securely, maintaining the trust and integrity of our company.
Requirements:
  • Experience: Proven experience as a receptionist or in a related administrative role is preferred.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to communicate effectively with clients, employees, and guests.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using office equipment.
  • Organizational Skills: Strong organizational skills and the ability to multitask, prioritizing tasks and managing time effectively.
  • Customer Service Skills: Friendly and professional demeanor with strong customer service skills, providing exceptional service to clients and guests.
