Job Overview

We are seeking a highly organized and detail-oriented Medical Secretary to join our team at the NHS Foundation Trust. As a Medical Secretary, you will play a critical role in ensuring the smooth operation of our outpatient services.

Main Responsibilities
  • Process and log all referrals, including paper and electronic referrals, in accordance with Trust policies and procedures.
  • Schedule new and follow-up appointments with patients, ensuring that capacity is proactively and efficiently used.
  • Coordinate appointments and procedures at other hospitals and organizations, as required.
  • Ensure clinic outcomes are recorded accurately on our patient administration system.
  • Lead on the completion of clinic cancellation forms and process according to standard operating procedures.
  • Reschedule outpatient clinics as requested, in line with waiting time targets.
  • Use our medical transcription system to ensure that urgent letters are processed in accordance with standard operating procedures.
  • Liaise with patient records staff, ward clerks, and other organizations to ensure that all medical notes, referral letters, results, and discharge summaries are available for outpatient appointments and consultations.
  • Recognize when patients are on cancer pathways and liaise with Cancer Trackers to ensure patients are handed over appropriately.

Person Specification

We are looking for a candidate with the following qualifications and experience:

  • RSA III or equivalent administration qualification.
  • GCSE or equivalent in English and Maths, grades A-C or equivalent.
  • NVQ level II in business administration/customer care or equivalent experience.

Desirable criteria include:

  • Dictate IT experience.
  • Experience on Ecamis.
