Job Overview

We are seeking a highly skilled and organized Medical Secretary to join our team at the NHS Foundation Trust. As a Medical Secretary, you will be responsible for providing administrative support to our medical staff, ensuring the smooth operation of our outpatient services.

Main Duties

As a Medical Secretary, your key responsibilities will include:

  • Processing and logging referrals, including paper and Choose and Book, in line with Trust Access Policy and specialty SOP.
  • Scheduling new and follow-up appointments with patients, ensuring that capacity is proactively and efficiently used.
  • Coordinating appointments and procedures at other hospitals and organizations, as required.
  • Ensuring clinic outcomes are recorded accurately on PAS, including those for offsite clinics.
  • Leading on the completion of clinic cancellation forms and processing according to SOP.
  • Rescheduling outpatient clinics as requested, in line with waiting time targets.
  • Using the Trust's medical transcription system and ensuring that urgent letters are processed in accordance with SOP.
  • Liaising with patient records staff, ward clerks, and other organizations to ensure all medical notes, referral letters, results, and discharge summaries are available for outpatient appointments and consultations.
  • Recognizing when patients are on cancer pathways and liaising with Cancer Trackers to ensure patients are handed over appropriately.

Person Specification

We are looking for a candidate with:

  • RSA III or equivalent administration experience.
  • GCSE or equivalent in English and Maths, grades A-C or equivalent.
  • NVQ level II in business administration/customer care or equivalent experience.

Desirable Criteria

We would also like to see experience of using full range of IT and patient data systems, Microsoft Office, and scheduling appointments.
