Position Overview
The Lead Radiotherapy Operations Specialist is accountable for overseeing all facets of the technical radiotherapy service, including its growth and enhancement, by establishing and coordinating departmental technical benchmarks. This role demands a commitment to delivering exceptional patient care and technical excellence consistently, while also making informed decisions in intricate clinical situations referred by colleagues.
Key Responsibilities
Individuals in this position are expected to possess extensive and comprehensive knowledge of technical matters, serving as experts and leading specialists within the department. They will provide guidance and be consulted on a broad spectrum of issues and scenarios.
The Lead Specialist will:
- Act as the primary authority on technical matters within the department.
- Offer expert advice to senior management regarding strategic oversight.
- Drive the strategic development and implementation of new complex technologies and services.
- Ensure the maintenance of safe, high-quality technical operating standards throughout the radiotherapy service.
- Review and enhance these standards in collaboration with relevant disciplines.
- Set the strategic direction for technical service advancements, interpreting national guidelines to formulate departmental policies and standards.
- Manage technical information and clinical systems, ensuring that key advanced practitioners receive high-level training and that all systems operate efficiently and effectively.
- Conduct risk assessments as the Information Asset Administrator for multiple technical clinical systems, ensuring compliance with legislation and local policies.
- Identify and engage in research and pilot projects with the multidisciplinary team to future-proof the department's technical standards.
- Test new complex equipment and software clinically to ensure safe integration into practice.
- Propose and implement changes that may affect areas beyond the radiotherapy department.
- Participate actively in national radiotherapy groups and present technical and clinical data at various meetings.
- Oversee the management of the Radiotherapy Oncology Management system, ensuring clinical testing is conducted satisfactorily.
- Analyze complex software developments to guarantee safe implementation.
- Serve as the first point of contact for managing discipline, attendance, and standards issues within the department.
- Plan and coordinate the implementation of complex technical upgrades, collaborating with the multidisciplinary team and external suppliers.
- Regularly audit the Oncology Management System and work with physics colleagues to maintain a leading position nationally.
- Assist in equipment procurement decisions, developing business cases and aligning financial constraints with departmental leadership.
- Ensure clinical systems and standards for safe patient treatment delivery are established and routinely reviewed.
- Collaborate with the Head of Department to set annual objectives for the team.
- Supervise designated advanced practitioners and facilitate their professional development.
- Engage in the recruitment process for senior roles within the department.
- Participate in departmental appraisal training to enhance skills as both reviewer and reviewee.
- Support the development of new practice models and ensure effective communication of service developments to relevant staff.
- Manage patient complaints and ensure that clinical decision-making by junior staff is supported by appropriate knowledge and experience.
- Carry out additional responsibilities as assigned by senior management.
Communication and Collaboration
The role requires the ability to convey and receive complex, sensitive information empathetically and professionally. The Lead Specialist must:
- Recognize potential communication barriers and employ persuasive and motivational skills as needed.
- Promote effective communication and relationships with colleagues, the multidisciplinary team, patients, and visitors.
- Present formal lectures to large groups at local and national levels.
- Act in an influential capacity in contentious areas regarding service changes and development.
Physical and Mental Demands
The position involves variable physical demands, primarily low, but may require travel for meetings and service development needs. The role necessitates:
- Prolonged concentration and mental agility to manage multiple priorities and tight deadlines.
- High levels of focus to solve problems and enhance patient care standards.
- Occasional intense concentration during service development and training activities.
Emotional Considerations
The Lead Specialist must be attuned to the emotional and psychological needs of patients and colleagues, providing constructive feedback and managing potentially stressful situations effectively.
Working Environment
This role is situated in an environment where radiation is consistently utilized. The majority of time will be spent at a workstation, with additional responsibilities involving staff support, development, and departmental functions.
