To support our expanding digital initiatives, we are seeking a dedicated Finance Assistant / Office Assistant to become a vital part of our vibrant London team. The successful candidate will undertake a range of responsibilities, including daily bookkeeping, managing correspondence for our UK and US teams, and engaging with talent. This role involves close collaboration with the Finance Controller to ensure the efficient operation of internal financial processes and the overall management of office activities. Key responsibilities include preparing and processing commission invoices, overseeing administrative tasks, and fostering a culture of teamwork throughout the organization.

The ideal candidate will be a proactive team player with exceptional attention to detail and the capability to handle multiple tasks simultaneously while maintaining high standards.

Key Responsibilities

● Collaborate with the Finance Controller on daily operations

● Utilize Xero data to generate analytical reports

● Manage daily bookkeeping tasks, including commission invoice preparation and credit note processing

● Conduct data entry and ensure accurate financial transaction records in Xero

● Perform daily reconciliation of bank statements across various accounts

● Complete UK and US Vendor Forms as requested by external parties

● Prepare Debt Reports for each Manager

● Manage inbox communications, addressing inquiries from vendors and internal staff regarding financial matters

● Gather information for external client accountants for VAT Return processing

● Assist with weekly payment runs and provide coverage during the Finance Controller's absence

● Facilitate communication between the UK and US teams, aiding in the implementation of backend procedures

● Support the Finance Controller in daily office management, including purchases and maintenance

● Liaise with external vendors regarding office purchases, maintenance, and utilities

● Oversee office supplies, including refreshments, stationery, and equipment

● Maintain documentation, update paperwork, and perform word processing tasks

● Help organize and maintain shared office spaces

● Execute general office assistant duties and errands

● Collaborate with colleagues to ensure all tasks are completed efficiently

Qualifications

Required:

● Understanding of the entertainment and media industry

● Previous experience in bookkeeping; AAT Level 2/3 is advantageous

● Familiarity with accounting and bookkeeping practices

● Proficiency in accounting software (e.g., Xero)

● Strong IT skills, including proficiency in Word, Microsoft Excel, and Outlook

● Ability to prioritize tasks and manage time effectively, especially during high-volume periods

● Excellent organizational skills with the ability to meet deadlines

● Attention to detail, particularly in identifying numerical discrepancies

● Clear and concise communication skills, both verbal and written

● Strong interpersonal abilities

● Motivated, ambitious, and eager to learn

Work Environment

This role is primarily conducted during standard business hours at our London office. Occasionally, the position may require evening or weekend work, as well as remote working options.

The typical workday consists of eight hours, including a one-hour lunch break.

Reporting Structure

Direct reports will include the Finance Controller and Senior Management team.
