Contract Overview:

This position is a temporary role within a local authority, focusing on the management and maintenance of the vehicle fleet and associated equipment.

Role Summary:

The successful candidate will collaborate closely with the Fleet Operations Manager and workshop supervisor to ensure the delivery of high-quality repairs and maintenance for the council's vehicle fleet and equipment inventory.

Key responsibilities include:

  1. Facilitating communication with internal stakeholders to arrange Service Level Agreement meetings, ensuring that service provisions and standards are established and monitored.
  2. Maintaining accurate records of all council vehicle and equipment assets within the database.
  3. Acting as the primary contact for workshop suppliers and addressing service-related inquiries directed to the fleet department.
  4. Coordinating scheduling for vehicle inspections, servicing, and MOT appointments, ensuring timely notifications are provided to internal customers.
  5. Collaborating with external service providers to align MOTs with scheduled service bookings in the fleet workshop.

Key Responsibilities:

  1. Managing and upholding Service Level Agreements with both internal and external customers and suppliers.
  2. Assisting in the execution of internal and external audits for the fleet and workshop departments.
  3. Ensuring all vehicles, plant, and equipment are accurately recorded in the database, with service records updated as necessary.
  4. Coordinating preventative maintenance inspections, servicing, MOTs, and LOLER tests in compliance with DVSA regulations and manufacturer guidelines.
  5. Providing detailed reports on vehicle maintenance costs and availability.
  6. Engaging with external suppliers to procure parts, ensuring timely delivery and adherence to specifications.
  7. Effectively managing external suppliers to maintain cost-efficient vehicle repairs.
  8. Supporting the Head of Fleet Operations in adhering to DVSA standards related to Operator's Licence requirements.
  9. Contributing to the fleet and workshop business continuity plan.
  10. Addressing customer and supplier concerns in line with corporate complaint policies, escalating issues to the Fleet Operations Manager as necessary.

Essential Experience:

  1. Significant experience in a fleet or workshop environment.
  2. Proficient in managing a fleet/workshop database and maintaining comprehensive records.
  3. Demonstrated ability to develop quality systems that ensure efficient support for internal and external customers.
  4. Experience in a commercial vehicle setting.
  5. Proven track record in managing and monitoring external suppliers.
  6. Competency in utilizing IT systems, particularly within a workshop context.
