We are seeking a Junior Project Coordinator to assist our Projects PI (Permanent Installations) team in ensuring that initiatives are managed and executed efficiently, effectively, and professionally. This role emphasizes continuous improvement in operations, optimizing workflows, and collaborating seamlessly to deliver exceptional client service.

The Junior Project Coordinator position is vital within the Projects team, serving as both the external representative and the internal core for project execution by the UK division. Typical project values range from £150,000 to £15,000,000 and may be executed globally.

To perform the Junior Project Coordinator role successfully, close collaboration with clients is essential, along with supporting the management of internal teams to guarantee that all deliverables are achieved, and the appropriate solutions are provided on schedule and within budget.

Key Responsibilities:

Support Project Managers in ensuring projects are managed and executed in a timely, cost-effective, and professional manner. Assist with the preparation of bids and tenders. Exhibit continuous efforts to enhance operations, streamline processes, and work collaboratively to provide seamless client service. Aid the project management team with strategic planning for project execution, including agreement on solutions, timelines, and budgets. Proactively address project-related issues associated with assignments. May organize and document project-specific meetings, prepare/update project status reports, and maintain files for due diligence and financial tracking. Assist the project management team in verifying accurate project budgeting and follow-ups. Coordinate activities with internal and external clients, ensuring project milestones are achieved and work is managed and progressed safely and according to plan. Conduct site visits to monitor project progress as necessary. May oversee small projects from initiation to completion. Engage and negotiate with both internal and external clients. Adhere to existing business processes and contribute to their refinement.

Experience/Qualifications:

Prior experience in a project management capacity. Experience in budget preparation and tracking. Understanding of technical project requirements. Previous involvement in project settings with scope development. Proficiency in budgeting, scheduling, and contract negotiations.

Skills:

Strong written and verbal communication skills. Excellent interpersonal abilities, capable of engaging with all organizational levels. Highly motivated with a strong work ethic and effective time management. Willingness to travel and attend meetings outside of standard working hours. Previous experience in the theatre and entertainment sector is advantageous.
