Office Facilities Coordinator

- Engage with the office team through clear and informative communications to ensure alignment with company policies.
- Participate in regular facilities management meetings and address action items as necessary.
- Assist in various projects for the Facilities Management & Property team, ranging from minor tasks to significant initiatives.
- Coordinate and prepare monthly performance reports and quarterly meetings with key suppliers, collaborating closely with the Supplier Relationship Manager.
- Work alongside the Audits team to provide necessary support.
Proactive Mindset.
- Oversee the inventory of office supplies, ensuring timely ordering of necessary items for workspaces, meeting areas, and communal facilities.
- Process and issue Purchase Orders related to Property and Facilities.
- Maintain and update contact lists pertinent to Facilities Management and Property.
- Ensure the proper functioning and upkeep of office infrastructure, including heating, ventilation, air conditioning (HVAC), lighting, plumbing, and security systems.
- Foster a clean, professional, and welcoming atmosphere within the office environment.
Integrity in Operations.
- Identify and report any facilities-related concerns to the appropriate service providers, ensuring resolution and follow-through.
- Support compliance with standards across the estate utilizing our Computer Aided Facilities Management (CAFM) System, Elogbooks.
- Organize and manage documentation within shared online platforms, streamlining processes related to property and audits.
- Maintain precise records and documentation concerning facility operations and audits.
- Possess a solid understanding of Whistl's accreditations and uphold these standards through regular activities, including site inspections and supporting the team with non-conformance issues and improvements.
