We are seeking a highly organised and compassionate individual to fill the role of Receptionist and Administrative Officer. This position is crucial in ensuring the smooth operation of our day-to-day activities.
Key Responsibilities:Reception Duties:- Welcome visitors and clients with professionalism, providing a warm and welcoming atmosphere.
- Manage phone calls, respond to inquiries, and direct calls to relevant staff members as needed.
- Effectively manage calendars for relevant personnel, ensuring timely appointments and meetings.
- Receive and distribute mail and packages, and prepare outgoing mail and courier services.
- Assist with filing, data entry, attendance logs, company calendars, and maintaining organised records and databases.
- Monitor and manage supplies inventory, reorder as necessary, and maintain accurate records.
- Support the organisation and coordination of events, meetings, and workshops, including preparation of materials and environments.
- Prepare reports, presentations, and other documents as required.
- Reconcile petty cash and Zettle, and act as the first point of contact for invoice queries as directed by the Financial Controller.
- Education: GCSEs or equivalent, with Maths and English being essential; additional qualifications in office administration or a related field are advantageous.
- Experience: Proven experience in a receptionist or administrative support role.
- Excellent verbal and written communication skills.
- Strong organisational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
- Ability to handle sensitive and confidential information with discretion.
