Position Overview

The Department of Health and Social Care (DHSC) is dedicated to empowering individuals to lead more independent and healthier lives. We are currently seeking an Executive Assistant to the HR Director within our Human Resources Directorate.

Role Summary

As an Executive Assistant, you will play a crucial role in the effective operation of the Director's Private Office. This position involves collaboration with various Private Offices, the HR Senior Leadership Team, and other departments within DHSC.

Key Responsibilities

Reporting to the HR Programme Office Lead, your responsibilities will include:

  • Providing comprehensive administrative assistance to the HR Director, including managing correspondence and scheduling.
  • Maintaining an accurate and up-to-date calendar for the Director, serving as the primary contact for scheduling and room bookings.
  • Gathering and preparing necessary documents and briefings for meetings to ensure the HR Director is well-prepared.
  • Collaborating with other Private Offices to coordinate diary management and address cross-departmental matters.
  • Acting as a central point of contact for various administrative tasks and compiling information as required.
  • Fostering strong relationships with colleagues at all levels to facilitate the smooth operation of the HR Director's office.
  • Contributing to effective information management, including maintaining filing systems and administrative resources.
  • Assisting HR deputy directors with administrative needs.
  • Coordinating travel arrangements for the Director and the Senior Leadership Team.
  • Handling sensitive information with the utmost discretion and confidentiality.

Candidate Profile

The ideal candidate will possess:

  • Exceptional organizational skills and the ability to work independently while maintaining attention to detail.
  • Proactive management of inbox and calendar, with a strong understanding of priorities.
  • Excellent verbal and written communication skills, with experience working directly with senior leadership.
  • A collaborative approach, demonstrating flexibility and the ability to meet tight deadlines.
  • Proficiency in Microsoft Office applications, including Word, Outlook, Teams, and Excel.

Desirable Qualifications

  • Experience as an Executive Assistant or in a Private Office setting.
  • Proven ability to manage multiple priorities in a fast-paced environment.

This role requires regular in-office presence to support the HR Director and facilitate in-person meetings. Candidates who meet the qualifications but are not selected for this position may be considered for other Executive Assistant roles within DHSC.
