Our Administration Division is on the lookout for a dedicated Office Coordinator to join our North & West Bristol Locality. This pivotal role is instrumental in assisting the Integrated Neighbourhood Teams (INTs) that provide care outside of hospital settings to individuals in their residences or community health centers.
As a vital member of our administrative staff, you will support clinical professionals who operate within these teams. You will collaborate closely with clinical personnel, including Nurses, Physiotherapists, Occupational Therapists, and support staff. Regular communication will be essential, both within the team and with service users and colleagues throughout the broader organization.
This position is crucial for the efficient operation of our services, ensuring that our service users receive optimal care.
Our service runs 7 days a week, from 8am to 8pm. Work schedules can be discussed during the interview process. Team members typically work one weekend per month on average.
Key Responsibilities
Deliver a professional service to a diverse range of clients, including patients, caregivers, families, healthcare professionals, and other organizations. Address unexpected and challenging situations with appropriate responses, which may involve interacting with patients in sensitive circumstances. Provide non-clinical guidance as needed. Escalate concerns to the line manager when necessary. Coordinate with colleagues, patients, and external parties regarding complex messages and patient inquiries (including sensitive information) to facilitate effective team operations. Tailor communication to suit a variety of situations. Develop templates and customized correspondence with guidance. Maintain awareness of priorities and deadlines. Train colleagues and offer day-to-day supervision. Resolve patient expectations through effective problem-solving. Create work schedules and manage conflicting appointments. Organize meetings, prepare agendas, take minutes, and follow up on action items. Conduct project administration tasks. Adhere to standard operating procedures while contributing ideas for process enhancements. Assist managers with recruitment-related administrative tasks. Manage minor expenditures and order office supplies. Keep accurate records related to medical devices and equipment. Transport supplies as needed. Ensure the creation and maintenance of accurate records in compliance with confidentiality standards. Gather and input data using various systems, generating reports as required.You may be required to travel between our various locations as necessary.
